How we collect, use, store and protect your information.

OPT Digital ("OPT", "we", "us") is a New Zealand-based marketing agency. This policy explains what personal information we collect through our client onboarding and offboarding portal, how we use it, who we share it with, and your rights. We handle personal information in accordance with the New Zealand Privacy Act 2020 and its Information Privacy Principles.

Who we are

Information we collect

We only collect information you provide to us, or that is needed to deliver our services:

  • Contact & business details — your name, business name, email address, phone number, website, and information about your business that you enter in our onboarding form.
  • Files you upload — documents, customer lists, brand assets or other files you choose to submit during onboarding.
  • Account & asset details — information needed to set up, manage or hand over marketing assets such as your Google Business Profile, website and hosting (including the destination email addresses you nominate at offboarding).
  • Offboarding & agreement records — your name, email, the choices you make, your signature, and the date/time and a copy of the signed handover agreement.
  • Basic technical information — standard data your browser sends (such as IP address and device/browser type) and information our hosting provider logs to keep the site secure and working.

We do not knowingly collect special categories of sensitive personal information, and this portal is intended for business clients, not children.

How we use your information

  • To deliver, manage and improve the marketing services you've engaged us for.
  • To set up your onboarding, generate your service documents, and communicate with you.
  • To process an offboarding / asset handover and keep a record of the signed agreement.
  • To meet our legal, accounting and record-keeping obligations.
  • To keep the portal secure and prevent misuse.

We do not sell your personal information, and we do not use it for third-party advertising.

How we store and share it

Your information is stored in our business systems and shared only with the service providers that help us operate. These providers process data on our behalf under their own security and privacy terms:

Some of these providers are based in, or store data in, other countries (including the United States). Where information is transferred overseas, we take reasonable steps to ensure it remains protected by comparable safeguards. We may also disclose information where required by law.

Cookies

This portal does not use advertising or cross-site tracking cookies. We use only the minimal local/session storage needed for the pages to function (for example, remembering a setting on your own device). Embedded tools such as Calendly may set their own cookies, governed by their privacy policies.

How long we keep it

We keep personal information only for as long as needed for the purposes above and to meet our legal and business record-keeping obligations — for example, signed agreements are retained as part of our financial and contractual records. When information is no longer needed, we delete or de-identify it.

Security

We take reasonable technical and organisational steps to protect your information against loss, misuse and unauthorised access, including access controls and reputable, secured service providers. No system can be guaranteed completely secure, but we work to keep your information safe.

Your rights

Under the Privacy Act 2020 you have the right to ask us for a copy of the personal information we hold about you, and to ask us to correct it if it's wrong. To make a request, email support@opt.co.nz and we'll respond as soon as we reasonably can. If you're not satisfied with how we've handled a privacy matter, you can contact the New Zealand Office of the Privacy Commissioner.

We may update this policy from time to time. The "last updated" date above shows when it was last changed; the current version always lives at this page.
